Privacy Statement
Your privacy is important to us
The private company with limited liability TRIBES Holding B.V., and all its subsidiaries, has its registered office in Rhenen and is registered with the Chamber of Commerce under trade registry number 58603220. TRIBES Holding B.V. and all affiliated subsidiary companies are hereinafter also referred to as “Tribes”, “we” or “our”.
Tribes processes personal data. The term personal data refers to all information about a natural person that can be traced back to that person, either directly or indirectly, or through which it is possible to identify that person. The person concerned is hereinafter also referred to as “you” or the “data subject”.
Tribes considers the protection of your privacy important. We therefore process personal data entirely in accordance with the General Data Protection Regulation, hereinafter also referred to as the “GDPR”, which entered into force in all European Union Member States on 25 May 2018.

Scope of this privacy statement
This privacy statement applies to the following categories of natural persons:
- Visitors to Tribes’ websites: http://www.tribes.world, http://www.tribes.nl and http://www.tribes.be.
- Visitors to the social media channels used by Tribes, including but not limited to LinkedIn, Twitter, Instagram and Facebook.
- Persons who receive the Tribes newsletter.
- Persons who have completed the contact form on a Tribes website.
- Visitors to Tribes’ various establishments.
- Participants in meetings organised by Tribes.
- Tribes’ business relations and contract holders.
- Users of Tribes’ services.
- Applicants.
- All other persons who contact Tribes or whose personal data is processed by Tribes, with the exception of Tribes employees.
Tribes cannot verify whether visitors to its websites or visitors to social media channels used by Tribes are minors. Tribes advises persons who have parental authority or custody of minors to monitor their online conduct, so that the personal data of minors is not processed by Tribes.

Processing purposes
Tribes processes the personal data necessary to provide its services to you. Tribes processes personal data for the following purposes:
- To enter into and perform business agreements concluded between you and Tribes, including the sending of fee statements and invoices.
- To allow you to make use of Tribes’ services and facilities.
- To make appointments and reservations.
- To maintain customer contact, including the sending of newsletters and other information requested by you.
- To invite you to meetings organised by or within Tribes.
- To increase Tribes’ customer base.
- To optimise Tribes’ websites: http://www.tribes.world, http://www.tribes.nl and http://www.tribes.be.
- To optimise the social media channels used by Tribes.
- To optimise the Tribes newsletter.
- To measure and maintain general website usage statistics.

Personal data that is processed
Tribes processes personal data that people provide to Tribes themselves. This information may be provided during an intake interview, discussion or meeting, by telephone, digitally by email, through a customer contact form on a Tribes website or as part of an agreement concluded between you and Tribes.
The personal data processed by Tribes may include:
- Name and address details.
- Contact details, such as your email address and telephone number.
- IP addresses of visitors to Tribes’ websites.
- Information collected through cookies.
- Date of birth.
- Identification data processed pursuant to the Money Laundering and Terrorist Financing Prevention Act.
- Vitoz personal numbers linked to access passes for Tribes’ establishments.
- Organisation and position.
- Financial and administrative data.
- Any other information necessary for the purpose for which it is provided and voluntarily made available to Tribes by the data subject.

Bases for the processing
Tribes processes personal data on the following statutory bases:
- Consent given by you. Consent means a freely given, specific, informed and unambiguous expression of your wishes by which you accept that your personal data will be processed. Consent can be withdrawn at any time.
- The processing is necessary to comply with a statutory obligation that applies to Tribes, such as the obligation to retain certain financial and administrative data.
- The processing is necessary to enter into or perform an agreement to which you are a party.
- The processing is necessary to represent Tribes’ legitimate interests, such as fraud prevention or marketing purposes.

Processors and third parties
Tribes may engage external service providers, referred to as processors, to process personal data for the purposes described in section 02 of this privacy statement.
Tribes concludes processing agreements with these processors that meet the requirements of the GDPR. Your rights will be safeguarded by the processor in the same manner as they are safeguarded by Tribes and as described in this privacy statement.
Tribes may also provide personal data to a third party, such as a supervisory authority or another public authority, insofar as Tribes has a statutory obligation to do so.
In principle, Tribes does not share personal data with other commercial organisations, unless the sharing of personal data takes place within the organisational framework of an event.
In principle, Tribes does not transfer personal data to countries outside the European Economic Area, also referred to as the EEA.
If Tribes transfers personal data outside the EEA, the personal data will only be transferred to countries that the European Commission has determined provide an adequate level of protection or where appropriate safeguards within the meaning of the GDPR are in place.

Security of personal data
Tribes has appropriate technical and organisational measures in place to ensure that your personal data is processed securely.
These measures are intended to protect your personal data against, among other things, unauthorised or unlawful processing, accidental loss, destruction and damage.

Retention of personal data
Tribes does not retain personal data for longer than is necessary. Tribes applies the following retention periods:

Website, cookies and social media
Cookies
Tribes uses cookies to improve the usability of its websites. A cookie is a small text file placed on your computer, tablet, smartphone or other device during a visit to a Tribes website.
You may refuse the use of cookies at any time. Refusing cookies may affect the functionality and usability of the website.
Social media and third-party websites
Tribes’ websites may show buttons or links that allow webpages to be promoted or shared through social networks and third-party websites, such as Twitter, LinkedIn, Instagram and Facebook.
Tribes does not monitor and is not responsible for the processing of your personal data by or through these third parties. The use of these platforms and services is therefore at your own risk.

Rights and requests
As a data subject, you have the following rights:
- The right to inspect your personal data.
- The right to have your personal data corrected or changed.
- The right to have your personal data removed when it is no longer necessary for the purpose for which it was collected, except where Tribes has a statutory obligation to retain the data.
- The right to restrict the processing of your personal data.
- The right to have your personal data transferred to another organisation.
- The right to object to the processing of your personal data.
- The right to file a complaint with the Data Protection Authority.
